Introduction

EasyRental365 (“we”, “us”, or “our”) is built, developed, and operated by Oddeven Infotech Private Limited, currently running EasyRental365 as a public pilot. This Privacy Policy explains what information we collect when you use our rental property management platform, how we use it, and the choices you have. By creating an account or using EasyRental365, you agree to the practices described here.

1. Information We Collect

We collect the following categories of information:

• Account information — name, email address, phone number, timezone, and password (stored as a salted hash, never in plain text).
• Property, tenant, and lease data — property addresses, unit details, tenant contact information, lease terms, and rent amounts that you or your organization enter into the platform.
• Payment records — rent payment amounts, due dates, and payment status you record. EasyRental365 does not process card payments directly and does not store card or bank account numbers.
• Support & maintenance data — details you submit in support tickets or maintenance requests, including any files you attach.
• Usage & security data — IP address, login timestamps, session identifiers, and device/browser information, collected to secure your account and detect abuse.
• Cookies — strictly functional session cookies required to keep you signed in. We do not use third-party advertising or tracking cookies.

2. How We Use Your Information

We use the information above to:

• Provide, operate, and maintain the EasyRental365 platform;
• Authenticate your account and protect it against unauthorized access;
• Send transactional emails such as email verification, password resets, one-time passcodes, lease renewal reminders, and payment or maintenance notifications;
• Respond to support requests you submit;
• Monitor, investigate, and prevent fraud, abuse, or security incidents; and
• Comply with applicable law.

We do not use your data for advertising, and we do not build advertising profiles.

3. Data Storage & Security

We apply industry-standard safeguards to protect your data, including:

• Encryption in transit via TLS on all connections to the platform;
• Passwords hashed with bcrypt — never stored or logged in plain text;
• CSRF tokens on every form submission to prevent cross-site request forgery;
• Automatic IP-based lockout after repeated failed login attempts;
• Mandatory email verification before first login;
• Optional two-factor authentication (TOTP authenticator apps and email one-time passcodes);
• Development practices aligned with the OWASP Top 10; and
• Regular backups.

No method of transmission or storage is 100% secure, but we work continuously to protect your information using these safeguards.

4. Data Sharing & Disclosure

We do not sell, rent, or trade your personal information. We do not share your data with data brokers or advertisers. We may share limited information only with:

• Service providers who help us operate the platform (for example, transactional email delivery), bound by confidentiality obligations and only given the minimum access required;
• Other users you authorize — for example, a property owner granting a tenant portal access will share relevant lease and payment information with that tenant; and
• Legal authorities when required to comply with a valid legal process, or to protect the rights, property, or safety of EasyRental365, our users, or the public.

5. Your Rights & Choices

You may, at any time:

• Access and update your account information from within the platform;
• Request a copy of the personal data we hold about you;
• Request correction or deletion of your personal data, subject to any records we are legally required to retain;
• Enable or disable two-factor authentication from your account security settings; and
• Close your account by contacting us at the email address below.

6. Data Retention

We retain account and property-management data for as long as your account is active, and for a reasonable period afterward to allow for account recovery, comply with legal obligations, resolve disputes, and enforce our agreements. Security logs (such as login attempts) are retained only as long as needed for the security purpose they were collected for.

7. Children’s Privacy

EasyRental365 is intended for property owners, managers, and tenants who are at least 18 years old. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

8. Owners in India and Abroad (NRI Community)

EasyRental365 is built for property owners based in India as well as Non-Resident Indians (NRIs) managing India properties from abroad. Regardless of where you access the platform from, your data is handled under the same protections described in this policy.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. We will update the “Last updated” date above when we do, and material changes will be communicated by email or an in-app notice.
